Visual Fence Pro ("we", "us", "our") operates the visualfencepro.com website and application. This policy describes how we collect, use, and protect your information when you use our service.

Plain English summary

We collect what you give us (account info, your projects, your customers' data), plus anonymous usage data so we can keep the product working. We share with the services we use to run the business (Supabase, Stripe, Resend, PostHog, etc., listed in Section 3). We do not sell your data. You can request export or deletion by emailing sean@visualfencepro.com. If you'd rather not be in product analytics, you can opt out of PostHog from Settings → Privacy.

1. Information We Collect

Account Information: When you create an account, we collect your name, email address, company name, phone number, and billing information.

Project Data: Fence project details you create, including property addresses, fence measurements, material selections, quotes, work orders, and customer contact information.

Usage Data: We automatically collect information about how you interact with the service, including pages visited, features used, and device information (browser type, operating system).

2. How We Use Your Information

To send transactional emails (quote notifications, payment confirmations, account updates)
To provide customer support
To improve and develop new features
To detect and prevent fraud or abuse

3. Third-Party Services

We use the following third-party services to operate our platform. Each has its own privacy policy governing how they handle your data:

Supabase — Database and authentication. Stores all your account, project, customer, quote, work-order, and payment records.
Stripe (subscription) — Subscription billing for your Visual Fence Pro plan (Starter / Pro / Enterprise). Stripe stores your billing email + payment method.
Stripe Connect — If you enable customer payments (Pro & Enterprise plans), you onboard a Stripe Connect account. This collects information Stripe requires for compliance: your business name + EIN/SSN, address, bank account routing/account numbers, beneficial-ownership identity verification, and (for US sellers earning over the IRS threshold) 1099-K tax reporting data. Visual Fence Pro never sees your full SSN or bank credentials — they go directly to Stripe. You can disconnect from Settings, which removes the linkage but does not delete your historical Stripe account.
Intuit QuickBooks — Optional, contractor-initiated. OAuth tokens stored to sync customers / estimates / invoices.
Mapbox — Satellite imagery and mapping. Project addresses are sent to Mapbox for geocoding.
Resend — Transactional email delivery (quote/invoice notifications to your customers; account emails to you).
fal.ai — Image-generation backend for the AI Visualizer feature. Photos you upload + the generated outputs are processed by fal.ai's models.
Vercel — Application hosting and Web Analytics (page-level metrics only, no per-user tracking).
PostHog — Product analytics and session replay on authenticated pages. Captures click events, page views, and a recording of the UI (with password fields automatically masked) so we can debug "this button didn't work for me"-style reports. You can opt out at Settings → Privacy. See Section 8 for details.
RB2B — Website visitor identification (public marketing pages only; see Section 8). Does not run on authenticated pages.

We do not sell, rent, or share your personal information with third parties for their marketing purposes.

4. QuickBooks Integration

If you choose to connect your QuickBooks account, we access your QuickBooks data solely to sync customers, estimates, and invoices between Visual Fence Pro and your QuickBooks account. We store OAuth tokens securely to maintain this connection. You can disconnect QuickBooks at any time from your Settings page, which immediately revokes our access.

5. Data Security

We implement industry-standard security measures to protect your data:

All data is transmitted over HTTPS (TLS encryption)
Database access is controlled through row-level security policies
Authentication tokens are securely stored and automatically rotated
Each company's data is isolated and accessible only to authorized team members

6. Data Ownership and Portability

Your data belongs to you. All project data, customer information, quotes, and work orders you create in Visual Fence Pro are owned by you. You may request an export of your data at any time by contacting us.

7. Data Retention

We retain your account and project data for as long as your account is active. If you cancel your subscription, your data is retained for 90 days in case you reactivate. After 90 days, your data may be permanently deleted. You can request immediate deletion by contacting us.

8. Cookies & Website Analytics

We use essential cookies and local storage to maintain your authentication session and application preferences. We do not use third-party advertising cookies.

Product analytics — PostHog (authenticated pages). On pages behind the login (dashboard, estimator, settings, work orders, etc.), we use PostHog to capture: page views, button clicks, form submissions (with passwords automatically masked), and session replay videos of the UI. This helps us debug bugs and understand which features get used. PostHog data is keyed to your Visual Fence Pro user ID and company ID. We do not send PostHog your customers' personal data (names, emails, addresses) — only your usage of our UI. You can opt out at any time by visiting Settings → Privacy and toggling PostHog off; your decision is remembered on this device. Learn more at posthog.com/privacy.

Visitor identification — RB2B (marketing pages only). On our public marketing pages (homepage, resources, signup, etc.), we use RB2B to identify business visitors. RB2B does not run on authenticated pages. This data is used solely for our own marketing and sales follow-up. Learn more at rb2b.com/privacy.

Hosting analytics — Vercel Web Analytics. Vercel records aggregate page-level metrics (response time, traffic by country/route) for performance monitoring. No per-user tracking; you cannot opt out of this because no individual data is captured.

9. Children's Privacy

Visual Fence Pro is a business tool designed for professional contractors. We do not knowingly collect information from anyone under the age of 18.

10. Changes to This Policy

We may update this privacy policy from time to time. We will notify you of significant changes by email or through a notice in the application. Continued use of the service after changes constitutes acceptance of the updated policy.
